Title Assistant Administrative Officer
Description The SADC Capacity Building Regional Integration (CBRI) Project invites suitably qualified Batswana for the post of Assistant Administrative Officer tenable at the SADC Secretariat in Gaborone Title : Assistant Administrative Officer Supervisor : Coordinator, CBRI Project Duration : Contract runs up to June 2012 Salary : US$22,982 x 967-28,784 per annum Purpose: To provide efficient administration and logistical support to professional staff at the SADC Secretariat and in particular to the Project Coordinator CBRI and the CBRI Imprest Administrator Summary of Duties and Functions: In cooperation with the technical experts in Policy Planning & Resources Mobilization the major tasks to be undertaken in fulfilling the requirements of Administrative Assistant Officer are: a) Provide administrative support to the CBRI Project Coordinator and CBRI Imprest Administrator with the preparation and consolidation of individual inputs to reports, which includes the quarterly progress reports. b) Provide administrative support for the CBRI Steering Committee as well as the convening relevant meetings and facilitate the convening of other internal meetings and keeping records. c) Routine office management and organisation including the supervision of the project secretary. d) Assist the PPRM Directorate with coordinating the calendar of events for preparation of documentation for the Consultative conference. This would include monitoring progress of activities according to timelines. e) Ensure efficient day-to-day communication with the CBRI Staff including the Imprest Administrator and SADC Secretariat internal structures. f) Provide assistance and support to the CBRI Project Coordinator in the compilation of reports to ensure that individual inputs and final copies of reports are both coherent and consistent. g) Other tasks, identified by the Project Coordinator and Imprest Administrator or technical experts, as may from time to time be required. Qualifications: The following are considered the minimum academic qualifications required: Appropriate university degree (BComm: Administration, BA Public Administration) or equivalent professional qualification The preferred post-qualifying level of practical experience is: a) Three years practical experience in facilities management and administration. b) A good level of computer literacy. c) Excellent English language, presentation and communication skills is essential. d) Experience in arranging conferences, workshops, accommodation, travel, etc. e) A good knowledge, and practical experience in the effective application of administration and financial procedures in a corporate or public sector environment. f) Previous experience of European Development Fund (EDF) procedures would be an added advantage. g) Experience in cooperating with regional or international institutions and donors would be an asset.
